About Mail-Enabled Contacts
Contacts represent external individuals in Exchange:
- External Only: Cannot authenticate to domain - no network access
- GAL Presence: Appear in Exchange Global Address List for easy lookup
- Group Membership: Can be added to distribution groups
- Use Cases: Business partners, vendors, customers, external consultants

All mail-enabled contacts - external individuals with email addresses in GAL.
Contacts With Proxy Addresses
Contacts with proper email routing configured - multiple email addresses supported.
Contacts Without Proxy Addresses
Missing proxy addresses - may need email routing configuration for proper delivery.
MESSAGE SIZE LIMITS (4 Reports)
Contacts With Default Sending Message Size
Using org default sending limit - standard configuration.

Contacts - Authenticated Users Only
Internal users only can send - unusual for external contacts. Review configuration.
Contacts With Moderation
Moderation enabled - messages need approval. Rare for contacts - review necessity.
Contacts Without Moderation
No moderation - instant delivery. Standard for external contacts.
Contacts - Accept From Specific Senders
Sender whitelist - only specific users can send. Unusual for external contacts.
Contacts - Reject From Specific Senders
Sender blacklist - specific internal users blocked from sending to external contact.

Manager assigned - clear internal ownership for external relationship.
Contacts Without Managed By
No manager - unclear ownership of external relationship. Assign contact owner!
Essential Contact Management Guidelines:
- Assign Managers: Every contact should have internal owner for relationship management
- Standard Authentication: Most contacts should NOT require authentication (they're external!)
- Avoid Over-Restriction: Contacts are external - don't apply internal-only restrictions
- Hide Inactive Contacts: Hide from GAL if contact is no longer active
- Review Message Limits: Ensure limits don't block legitimate external communication
- Regular Cleanup: Remove contacts for terminated relationships quarterly
Common Configuration Mistakes
Be careful not to over-restrict external contacts:
- Authentication Requirements: External contacts are outside your org - don't require domain auth!
- Authenticated Users Only: This blocks the external contact from receiving email - defeats the purpose!
- Excessive Moderation: Moderating external contacts causes delivery delays and confusion
- Overly Restrictive Limits: May prevent important external communication
