CONTACT OWNERSHIP (3 Reports)
Contacts With Managed By

Contacts Without Managed By

No manager - unclear ownership of external relationship. Assign contact owner!

Mail-Enabled Contact Best Practices
Essential Contact Management Guidelines:
  1. Assign Managers: Every contact should have internal owner for relationship management
  2. Standard Authentication: Most contacts should NOT require authentication (they're external!)
  3. Avoid Over-Restriction: Contacts are external - don't apply internal-only restrictions
  4. Hide Inactive Contacts: Hide from GAL if contact is no longer active
  5. Review Message Limits: Ensure limits don't block legitimate external communication
  6. Regular Cleanup: Remove contacts for terminated relationships quarterly
Common Configuration Mistakes

Be careful not to over-restrict external contacts:

  • Authentication Requirements: External contacts are outside your org - don't require domain auth!
  • Authenticated Users Only: This blocks the external contact from receiving email - defeats the purpose!
  • Excessive Moderation: Moderating external contacts causes delivery delays and confusion
  • Overly Restrictive Limits: May prevent important external communication

Remember: Contacts represent external email addresses - keep configuration simple!
